Printable / Paper-based Checklists

Yes, checklists can be managed centrally in the Checklist Builder and can be printed directly from the system at site level.

Yes, with Certainty, you can print your own audit checklists directly from the system – where and when you need them.

Yes, with Certainty’s scan-to-email and optical character recognition (OCR) technologies, users can submit completed paper-based audits using any standard office scanner by simply sending their scanned checklist directly to a project-specific email address (that we provide to you) and your paper-based audit data will automatically be digitized and entered directly into your instance of Certainty.

Whether its the risk of explosion, the risk of contamination or security issues preventing you from using your smartphone/device, with Certainty, you can still collect and digitize your audit data using paper-based audit checklists and our scan-to-email and optical character recognition (OCR) technologies.

Certainty allows for data entry using:

  • paper – printed checklists completed by hand and submitted using scan-to-email from any standard printer/scanner and digitized automatically using our optical character recognition (OCR) technology;
  • browser – any internet-connected, browser-enabled device (pc, laptop, smartphone, tablet, etc.);
  • Excel – export checklists as Excel spreadsheets, complete on or offline and import automatically by email; and,
  • Certainty app – for iOS and Android smartphones, tablets and devices, use on or offline, saves and syncs automatically.

With digital checklists (submitted using PC, laptop or the Certainty app) the results of audits and inspections are available online as soon as your auditors ‘save’ their audit (and sync if offline using the app). When submitting paper-based checklists, there can sometimes be a short delay in the digitization process (usually no more than an hour or two) and for data to be available on line. Also, as soon as your completed audit have been saved, you can report on the results and the data is included in your Dashboard graphs and metrics.

With Certainty, you can submit checklist data using any browser, the Certainty app, Excel export – import, or by using printed, paper-based checklists completed by hand. Paper-based checklists can be sent into the system using the scan-to-email feature of any standard scanner and are automatically digitized with our optical character recognition (OCR) tool.

Printable checklists are all based on an OCR template configured to work with your instance of Certainty. A checklist template defines the layout of a printable checklist (e.g. size of the paper you want to use and the number of possible columns and rows on the checklist). You can create an unlimited number of printable checklists from a single OCR template.

The option to have printable checklists can be included in your project for a one-time fee of $2,500 which includes the configuration of one (1) checklist template.

Additional templates are $1,200 each.

Yes, when you submit a completed paper-based audit using Certainty’s scan-to-email technology, the system automatically digitizes the paper-based audit results and the digitized audit record in Certainty includes a PDF of the original scan submitted and can also include a ‘snapshot’ image of any key comments fields with hand written findings.
